Punctuality Policy (Social Tennis)

This document constitutes the formal rules and policy intended for governing documents, adhering to procedural fairness requirements for non-profit sports leagues in Ontario.

1. Policy Authority and Purpose

This policy is established by the TLGTA Board. Punctuality is required for all registered members participating in TLGTA Social Tennis events to ensure proper court organization and fair play rotations. Chronic tardiness is considered conduct disruptive to the league's function.

2. Definition of Infraction

A Late Arrival Infraction is recorded when a registered member arrives more than ten (10) minutes past the published start time of a Social Tennis event.

3. Progressive Infraction Escalation

Infractions are monitored by the Social Tennis Coordinator. The policy follows a three-step progressive escalation process:

Infraction Level Consequence Authority
First Late Arrival Formal Warning issued. Social Tennis Coordinator/Designated Officer
Second Late Arrival Final Formal Warning issued. Social Tennis Coordinator/Designated Officer
Third Late Arrival Mandatory Waitlist Placement for remaining seasonal Social Tennis events. The member’s current registration for subsequent events shall be canceled. Board of Directors (Sole Discretion)

4. Infraction Forgiveness and Term

The tennis season runs from May 1st to April 30th. At the conclusion of the season, one (1) accrued Late Arrival Infraction will be automatically forgiven. A member who incurred Waitlist Placement (three or more infractions) will begin the next season with two (2) infractions recorded.

5. Disciplinary Review and Finality

Mandatory Waitlist Placement (Third Infraction) is considered a formal disciplinary action. Disciplinary review follows the TLGTA By-laws for non-violent grounds:

  • Notice and Reasons: The third infraction notification to the member shall serve as the formal notice and written reasons for the proposed Waitlist Placement at the time of the member’s receipt of the notice.
  • Effective Date of Consequence: The Mandatory Waitlist Placement shall take immediate effect upon issuance of the notice.
  • Right to Submission: The member is entitled to make written submissions (defense) to the Board for consideration within 20 days of receiving the notice of the proposed action. The Waitlist Placement remains in effect during this review period.
  • Final Decision: If written submissions are received, the Board will consider them and notify the member of the final decision within a further 20 days. The Board’s final decision regarding this consequence is final and binding on the member, without any further right of appeal.
